CLASS PURPOSE
Under general
supervision, performs a variety of clerical duties of moderate
difficulty, supervises a small group of clerical support workers
engaged in the circulation of library materials, the operation of
a specialty service unit or library general clerical unit, or
performs as library clerical support to a major system-wide
function. Performs related work as required.
TYPICAL DUTIES AND RESULTS (Any one position may not include all the duties listed, nor do the examples cover all the duties which may be performed.)
Drives Library bookmobile, oversees clerical operations and clerical functions on bookmobile, assists Librarian with circulation functions.
Trains, supervises and evaluates clerical staff, schedules and assigns work so that circulation functions are performed in an efficient, accurate, timely manner.
Orients and trains new clerical staff in unit or branch specific functions and procedures.
Participates in developing procedures for branch or unit functions, and places resulting procedures into written format using word-processing tools, and disseminates information to appropriate staff.
Handles encoding and data-entry of specific library material into system database, verifies accuracy of data-entry, and creates basic level title records.
Solves computer encoding problems, updates and corrects computer information so that accurate information is readily available about the collection.
In locating material for patrons, performs title searches, finds and uses reference materials, photo-copies requested articles and uses indexes or abstracts.
Assists clerical staff or patrons in resolving complex overdue problems, determines patron liability for damaged materials, handles other complaints.
Collects and compiles statistics for monthly service reports to aid in evaluating growth and progress of service delivery.
Performs a variety of typing and secretarial functions: files, keeps records, compiles reports and schedules meetings, records and distributes minutes of meetings.
DISTINGUISHING
CHARACTERISTICS
This is the highest
level class in the Library Clerical series. This class assumes
full supervision of subordinate level clerical staff and pages.
Duties and responsiblities require a broad background in library
clerical services. This class differs from the next lower level
of Library Clerk, in that incumbents of the latter do not
supervise, but may act as lead worker in the provision of
clerical services directly supporting the circulation system of
the library. This class differs from the next higher class of
Library Assistant in that incumbents of the latter perform
library technical and sub-professional duties in direct
assistance to professional librarians.
QUALIFICATIONS
Minimum Knowledges,
Skills and Abilities
Knowledge of basic supervisory practices and procedures.
Knowledge of circulation clerical procedures commonly used in libraries.
Ability to schedule, supervise, evaluate and direct clerical and circulation work.
Ability to train staff in general circulation support.
Ability to type at a net rate of 35 W.P.M.
Ability to deal tactfully and courteously with the public.
Ability to establish and maintain effective working relations with others.
Ability to express oneself, clearly and concisely, both orally and in writing.
Competency Knowledges, Skills and Abilities
Knowledge of reserve systems and other library reserve procedures.
Knowledge of indexing, title search methods, basic library tools.
Knowledge of all City of San Jose library computer terminal modes.
Knowledge of circulation clerical procedures commonly used in the San Jose City Library.
Knowledge of City of San Jose Library policies.
Ability to train staff in general circulation support.
Ability to assist with special programs and other public service activities.
Ability to correct computer errors in the encoding of materials.
Training and
Experience
Any combination of training and
experience equivalent to completion of high school and three (3)
years full time performance of clerical and circulation duties at
the level of a Library Clerk.
Licenses/Certificate
As a condition of
employment in some designated positions, possession of a valid
State of California Class A or B driver's license with applicable endorsements may be
required in the performance of job duties.
