REASON FOR SUPPLEMENTAL MEMO
This memorandum provides additional information following the bid opening on May 24, 2001.
Report on bids and award of contract for the Street Lights Citywide 2001 Project to the sole bidder, Pacific Electric Co., in the amount of $378,229.65 and approval of a contingency in the amount of $38,000. CEQA: Exempt.
On May 22, 2001, a memorandum was forwarded
to the City Council for the June 5, 2001, Council meeting. The purpose of this supplemental memorandum
is to provide additional information from the bid opening.

The sole bid submitted by Pacific Electric Company is 8.6 percent below the Engineer’s Estimate. This is considered a reasonable price based upon the Engineer’s Estimate and recent bid results of similar projects.
A $38,000 contingency is requested for
any unforeseen conditions which may arise during construction of this project.
This project was listed on the City's Internet Bid Line and advertised in the San José Mercury News and San José Post Record. Bid packages for all public works construction projects are routinely provided to a standard list of various contractor organizations, builder's exchanges and disadvantaged business organizations, including United Minority Business Enterprises and the San José Minority Business Development Center. Staff will attend community meetings if necessary, continue to distribute preliminary engineering notices to the residents near the project locations, and respond to comments and questions regarding the project.
This project was coordinated with Pacific Gas and Electric Company, the Offices of Equality Assurance, Risk Manager and the City Attorney, and the Department of Parks, Recreation and Neighborhood Services.
