EXECUTIVE ASSISTANT TO THE CITY AUDITOR (U) (8021)
CLASS PURPOSE
Under the direction of the City Auditor, performs professional level administrative work of considerable difficulty by providing office administration and general assistance to the City Auditor in the supervision of support staff, management of administrative functions, production of audit reports, and preparation of the department budget. Performs related work as required.
TYPICAL DUTIES AND RESULTS (May not include all duties listed, nor do examples cover all the duties that may be performed.)
- Serves as confidential administrative assistant to the City Auditor; screens calls and visitors; arranges appointments and travel; relays City Auditor's decisions and directives to staff; composes draft correspondence for City Auditor.
- Supervises support staff of the Office: assigns, directs, evaluates work and performance of support staff; develops and implements procedures for expediting flow of clerical assignments.
- Develops and administers procedures for the City Auditor's Office to ensure efficiency and timeliness of audit report production, budget administration, contract administration, dissemination of information to staff, and other related functions.
- Serves as personnel officer for the City Auditor's Office: processes and monitors evaluations, applications and orientation of new employees, and confidential personnel records.
- Supervises the production of confidential draft and final audit reports and other reports and correspondence: proofreads and edits for grammar, punctuation, spelling, format, consistency of terms, and clarity.
- Supervises the audit recommendations quarterly follow-up report process: proofs data entry, verifications, summaries, and calculations; prepares related information for report.
- Researches, analyzes, organizes, and prepares reports on information related to specific issues and/or projects as assigned, such as status of audit recommendations, audit costs, and/or productivity reports.
- Coordinates and assists with departmental budget preparation and monitors expenditures; prepares contracts; prepares and monitors contract payments.
- Serves as liaison to other City departments for various activities.
DISTINGUISHING CHARACTERISTICS
The incumbent of this single position class performs office administration functions of considerable difficulty for the City Auditor's Office, demonstrating skills in staff supervision, analyzing information and situations, and developing and implementing systems and procedures as needed. The incumbent performs administrative tasks independently and under general direction of the City Auditor and is privy to confidential and sensitive information/material in the course of the audit process that may affect City policy. This position differs from other similar positions in that the incumbent is responsible for the general management of the City Auditor's Office administrative functions.
QUALIFICATIONS
Minimum Knowledge, Skills and Abilities
- Knowledge of City government administration and management along with functions and responsibilities of the City Auditor's Office.
- Knowledge of standard principles of organization, administration, and supervision.
- Knowledge of report-writing techniques, principles of editing, English usage, spelling, grammar, punctuation, office practices and procedures.
- Knowledge of and ability to operate standard office equipment and computer software programs.
- Ability to exercise independent judgment and initiative regarding administrative matters.
- Ability to handle sensitive and confidential information.
- Ability to understand, interpret and apply instructions, rules, and policies.
- Ability to establish and maintain effective working relations with a wide spectrum of employees, officials, and the public.
- Ability to express oneself clearly and concisely orally and in writing.
Competency Knowledge, Skills and Abilities
- Ability to do independent research and to collect, compile, analyze and interpret data on a variety of issues and assimilate information into reports.
- Ability to monitor a number of projects and ensure adherence to timelines.
Training and Experience
Any combination of training and experience equivalent to an Associate of Arts degree from an accredited college in business or closely related field plus five (5) years of progressively responsible work experience in the business field and/or office management. The work experience should include one (1) year experience in a position equivalent to Executive Assistant to the City Auditor position.
